About Creating and Revising Orders



To request services from the caterer, you raise an order.  After logging in using the your user name and password you select “Raise an Order” item from the menu.

The first page you will see requests that you provide an order name, select one or more themes (or none at all), provide event date and time, the event location (address) and the number of guests you expect at your event.  You then click on “Continue to Item Selection”.

NOTE:  Themes are only used to provide an initial list of items.

The value you provide for the number of guests is used to help the caterer decide the quantities to prepare and is used to compute the price of the order.

This next page allows you to customize the list of items you want the catering service to provide.  There are three lists:

-- Currently Selected Items

-- Items to Add

-- Services and Materials


You may remove any items you don’t want from the first list by clicking on the checkbox next to the item.  When you do, the item will be immediately removed from the selected list.

You may add any items that were not selected for you from the “add” list by clicking on the check box next to the item you want to add.  It will immediately be added to the “selected” list.

Finally, if there any additional materials or services you would like the caterer to provide you can select them from the “Services and Materials” list by clicking on the checkbox next to the item.

There are four buttons:

 

-- “Save Order Details” which just saves whatever you’ve done with the order and returns to the home screen;

-- “Commit Order” which sends the order to the caterer for processing;

-- “Cancel Order” which deletes whatever you’ve done from the system;

-- “Cancel” which returns to the home screen with some changes ignored.

If you “saved” the order you may return to it and make additional changes as needed by selecting “Review/Commit Order” from the menu.

If you did not commit your order you will need to select “Review/Commit Order” from the menu.  This will display the same screen as before and from there you can click the “Commit Order” button.

NOTE:  in order to tell the caterer about your order you must commit it.  This will add your order to a work list from which the caterer will choose your order and complete processing by “finalizing” it.

When the caterer finalizes the order you will receive an email announcing this and requesting that you login to the application and either accept or reject the order.  This is necessary because additional costs are added to the total price of an order due to any request for materials or services, a charge for delivery (mileage) and Washington State sales tax.

To accept or reject an order, you will select “Review/Commit Oder” and on that screen there are three buttons:  “Accept Order”, “Reject Order” and “Cancel”.  In order for the caterer to begin the actual work of preparing for your event, you must accept the order.

Once the order has been accepted, you may view an invoice and, if you want, email it to yourself.
